Student information systems (SIS) have made much of school administration work easy. Communication, report generation and monitoring can now be automated, thanks to SIS.
Although SIS now has many of the school functions in-built there are still external systems that it must work in integration with. It must work smoothly across all the software in your school and feed data to other operational applications. Always consider following seven integrations before purchasing or upgrading your current SIS.
1.E-learning Modules (VLE)
Virtual learning environment is an online platform for learning courses in school. It consists of learning material, subject modules, e-courses, assessment tests and communication channels with teachers.
Information from SIS allows VLE to assign correct learning modules to students. Assessments scores from online tests need to be fed into SIS later. A lot of back and forth of data is central to smooth functioning of school’s online learning activity. Therefore it is essential that VLE is integrated with SIS.
For smooth integration it is necessary that data field in all systems mirror each other, meaning that all the systems take student data in a similar format and arrangement.
Many schools offer real-time GPS tracking of school buses for safety of students. This feature assures parents of their child’s security while they are on their way home. Transport tracking system will need students name and address for functioning. Make sure your SIS can readily plug in data if you have a transport tracking system.
School libraries have migrated to barcode system for ease of management. This lets the librarian track books easily and also help manage any late fees. Seamless connection with SIS data will allow library to import data easily and send reminders for library dues.
4.School Activity Portal
School portal is a one stop activity and announcement platform for teachers, parents, staff and students. School portals usually have separate logins for parents, teachers and students. Here, everyone can see upcoming events, school schedule, announcements, assignments, etc.
Integration with school information is necessary to create separate log-in for each parent and student. Students can see announcements relevant to them once the required data like class, subject electives, and extracurricular activities is imported from SIS. In the absence data from SIS, the portal would need to build profile of each student and customization of information would take longer.
In case of mobile apps for your portal you must check integration of student management system with that too.
Biometric systems take attendance of students and teachers. SIS must be compatible with biometric attendance as all student attendance is to be stored in SIS database. This will lead to complete automation of attendance with no staff involvement. Without this facility someone from the staff would have to transfer all the attendance data in SIS and then generate reports.
SIS also manages fee payments and stores important information on school finances. Your school may have a fee management module within the SIS. However, almost all schools still use tally for accounting purposes. It becomes important that fee payment information flows freely between these two systems.
Enrollment at the beginning of academic year is a busy time for school staff. Whether you have online webpage or mobile app for student enrolment, you should integrate it to SIS system. This will not only save time for your staff but also avoid any errors in data entry.
Student information systems were just storage of student data when they were first introduced. Now, they have evolved into much more with the option of customization according to every school’s need. There are still some systems where it needs to integrate and work together though. Seamless integration of these systems simplifies work and makes your staff more productive.
